Cycling Holiday Booking Conditions
1. How to book
Bookings are confirmed upon receipt of the deposit and a completed booking form for the particular trip.
When you make a booking you will be deemed to have agreed to the following conditions:
- You and all persons named on the booking have read and accepted these booking conditions.
- You and all persons named on the booking are suitably fit for the trip you are booking and you acknowledge and accept the hazards and risks associated with cycling (see section 6).
- You and anyone else on the booking do not suffer from any pre-existing medical condition or disability that may prevent them from actively participating in the trip.
The per person deposit for each trip is 10% of the full price or £75, whichever is greater. The full balance is due by 42 days before the start date of the trip. If you book within 42 days of the start date full payment should be made when booking. Deposits can be paid by PayPal, cheque or bank transfer. Final payments can be made by cheque or bank transfer. Cheques should be made payable to Inspiring Cycling and sent to: School House, Maulds Meaburn, Cumbria CA10 3HN. For bank transfers, please use the following details: name: Inspiring Cycling, sort code: 08-92-99, account number: 69637728. Please use your full name if asked for a payee reference.
Our International Bank Account Number (IBAN) is: GB40 CPBK 0892 9969 6377 28. The Bank Identification Code (BIC) is: CPBK GB22.
In the event of the non-payment of the final balance by the due date (42 days before the start date of the trip), your booking will be treated as a cancellation and cancellation charges will be due as per section 11 of these booking conditions.
Your final booking confirmation will be issued after the receipt of your final balance. This will include accommodation details, joining instructions and any maps and route notes included in your holiday. We cannot issue accommodation details for your holiday until we have received your final balance.
3. Consumer protection
In order to comply with EU Package Travel Regulations 1992, all payments towards your trip will be held in a separate account until the completion of your trip. This is to ensure the financial security of your holiday.
4. Law and jurisdiction
In making a booking with Inspiring Cycling, you agree that English law will apply to this contract and to any dispute, claim or other matter of any description which arises.
5. Minimum Age
Except for private group bookings, the minimum age for any trip is 18. Parents / guardians of under-18s on private bookings remain responsible for their supervision, ensuring they are suitably equipped and comply with any instructions given.
6. Acknowledgement of risk
Your booking is based on your acceptance of the risk inherent in cycling. Whilst we endeavour to ensure that any trip is as safe as possible, all clients must take sensible precautions to minimise any risk to themselves as much as possible.
It is your responsibility to ensure that you are suitably equipped, adequately fit and experienced to undertake the trip you are booking. You must inform us in advance of any medical conditions, allergies and/or special requirements, dietary or otherwise that could affect your participation in any trip.
We strongly recommend that you purchase adequate travel and cancellation insurance to cover you for your trip. You should note that many travel insurance policies exclude cover for certain sporting activities, so you should carefully check the terms of any proposed insurance policy to ensure that it meets your requirements.
9. If we change or cancel your booking
Whilst we will do our best to ensure that our trips go ahead as agreed, we reserve the right to make any changes due to circumstances beyond our control. We will inform you of any such changes at the earliest opportunity. If we make a change which involves additional expenditure by you, you have the right to cancel with a full refund of any monies paid to Inspiring Cycling.
If any trip does not have the minimum number of participants to make it viable we are entitled to cancel it and give you a full refund of any monies paid to Inspiring Cycling. Inspiring Cycling is not liable for any additional expenses you incur (e.g. travel expenses, accommodation) through your trip being cancelled. We recommend you purchase adequate insurance cover for such eventuality.
We cannot accept responsibility for any cancellation due to ‘force majeure’ such as natural disasters, fire, war, terrorist activity, adverse weather conditions, dangerous or unstable conditions or similar events outside our control. We will not refund or pay you any compensation or be liable for any other expenses to you in these circumstances.
10. If you change your booking
If you wish to make an amendment to an existing booking, we will do our best to help although we cannot guarantee that this is always possible. If a change is possible, an amendment fee of £10 per person will be charged to cover the costs of making this change.
11. If you cancel
If you wish to cancel your booking for any reason you must inform us in writing (email is acceptable). Your date of cancellation is the date on which we receive written instruction.
Cancellation fees will apply, based on a percentage of the total price, as detailed below:
- 42 or more days before start date: retention of deposit
- 41 to 28 days before start date: 40%
- 27 to 15 days before start date: 60%
- 14 days or less before start date: 100%
In the unlikely event of any problems or complaint, these should be brought to our attention at the earliest opportunity so that the matter can be resolved as soon as possible.
14. Bicycle Hire
Where bicycles for your holiday are provided by Inspiring Cycling as part of the holiday, the following conditions shall also apply:
14.1 The bicycles and all accessories and spares remain the property of Inspiring Cycling and you will not sell, hire out or otherwise part with the possession thereof.
14.2 You undertake not to misuse the bicycles and to return them with all accessories in the same condition as at the commencement of the holiday (ordinary wear and tear excepted). We shall be entitled to charge you for any damage caused to the bicycles or accessories during the period of the holiday caused by your act or omission. In the event of a breakdown, other than a result of your misuse, we will repair or replace the bicycle.
14.3 In the event of any bicycle being stolen or lost, we reserve the right to call upon you to indemnify us for the cost of the replacement of the bicycle/s, which will amount to not less than £300 per bicycle. Should the equipment subsequently be returned in a satisfactory condition, however, we will refund you within 14 days.
14.4 You must ensure that bicycles are adequately secured and always be locked to a suitable immovable structure when left unattended, not use any bicycle whilst under the influence of alcohol or drugs and immediately notify us in the event of the breakdown or loss of any equipment.
